QuickBooks
.....powerful and affordable accounts software

QuickBooks ProAdvisors
We have been using QuickBooks accounts software since it first arrived in the UK around 1994. It made full use of the new Windows platform at that time and even then offered strong reporting facilities compared to competitor products. Many of our clients come to us because they have bought QuickBooks and then seek advice on how to get the most from it. We are registered Quickbooks ProAdvisors.

Installation and training
The first time you install QuickBooks, it is important to set up the data file in a way that ensures you get the most from the software. We can usually assist you with the set up and provide sufficient training for you to start using the software in just half a day. Our training is specific to your business needs and accounts structure.

If you are already using QuickBooks, we may be able to amend the structure and add additional reporting so that you get more information about your business financials.

We offer ongoing support as well as outsourced accounting services with remote login to your system. If you would like us to carry out a health check on your system or enquire about improvements to your reports, please just call us. Sometimes you may have a QuickBooks data problem, such as the system running slowly - we can normally solve it. Or perhaps you want to save the cost of outsourcing your payroll - it is fully integrated in QuickBooks and you can tailor the salary allocation into your profit and loss account under as many different headings as you choose. We can set this up for you.

Key features of QuickBooks
Two particular features give QuickBooks advantages over similarly priced and even more expensive software:
User interface - it is very easy for non accountants to use
Reporting function - creating reports is simple with full drill down functionality

User interface
Businesses often produce sales invoices, for example, on MS Word or Excel and then record them into the accounting system in batches later. Quickbooks offers customisable templates and a simple user interface - with less than 10 minutes training, people can usually start producing invoices straight out of QuickBooks. This means that invoices are entered immediately and correctly, improving credit control options and saving otherwise wasted bookkeeping time.

Reporting function
The reporting functions of QuickBooks are significantly more powerful and easier to use than competitive software costing two or three times as much. There is full drill down functionality so you can double click on any figure in any report and drill down right back to the original data entered. One double click on a profit and loss account can provide a detailed transaction listing on all or any account headings. Simiarly you can drill down to a full bank account transaction listing (or any other account listing) from the balance sheet with a double click. Column widths are easily dragged and there are numerous filters for your reports. For example you may want a profit a loss account for one customer or one defined sector of the business - it can be produced in seconds, with analysis by individual (eg sales person) or sector of your business. The data base is date driven so you can enter any date range (instead of whole months) and there is no year end shut down so you can analyse your accounts over several years.

Robust reporting
There is an audit trail which details transactions deleted and amended, showing all prior versions of the transaction. Multiple level password access is available for eash user and a closing date setting means that users can be prevented from entering into a prior period or deleting/amending past data. The closing date does not affect reports, which are open for all years. VAT reports are completed on the system and transactions flagged so that they cannot be double counted. The VAT return can be filed online with HMRC through the software. Invoices entered late are included in the next return, with a report on those specific transactions. Backups are simple and completely portable with separate external accountant copies allowing data merge.

More analysis?
Even if QuickBooks still does not do enough for you, there are many add-on packages approved to work with QuickBooks. For example, we tracked down some software (in Canada) a few years ago that enabled our client's sales staff, located around the UK, to sell product over the phone and take credit card details in payment. Each day they were then able to upload all the sales and payment data for seamles integration into QuickBooks.
